Firnas Shuman is a renewable energy consulting and technical services firm. We provide our services around the world with the focus on Africa, the Middle East and Asia. Each request that comes to us from clients is unique and the success of turning these requests into awarded projects depends on the quality of proposals that we submit.
**About the Position**
The process of proposal preparation requires significant, detailed work to be completed, from assigning a correct proposal number to a new request to keeping databases of partners, suppliers, references and various templates up to date. A significant amount of this work is common among various proposals (formats, templates, CVs, etc.). We are looking for someone to manage our proposal documents and to file proposals appropriately.
**Job Objective**
That we issue proposals correctly filed, correctly formatted, with proper and up-to-date documents and materials.
**Key Functions**
- Create proposal numbers and ensure material is correctly filed under the proper number
- Register the qualified requests in the ERP system and further update their information throughout the project cycle
- Maintain proposal documents (CVs, references, etc.) and ensure they are continuously up to date
- Maintain an up-to-date database of project references, CVs and pre-qualification documents (e.g., procedures, samples of reports etc.)
- Assist Proposal Manager in collecting reference letters and feedback from clients
- Fill out various forms requested by the clients
- Assist in registering the company on client’s procurement platforms and other platforms as requested
- Organize printing and submission of proposals that have to be submitted in hard copies
- Assist in proposals preparation by preparing non-technical documentation, searching for partners and experts, reviewing proposals for formatting and fulfilling other tasks as required
**Basic Requirements**
- have a bachelor’s degree;
- be truly fluent in written English (virtually all of our proposals and the requests we receive are in English);
- be able to understand our business processes and the services we provide;
- be comfortable using programs like Microsoft Word and Excel, online platforms, ERP systems and the like.
- is attentive to details and is meticulous in their work;
- has good comprehension skills - is able to read a document and understand (even if it’s not always very clearly or directly stated) or imagine what the writer wants or intends;
- enjoys organizing and structuring their environment;
- enjoys collecting information and is sensitive in dealing with it;
- is comfortable interacting with people and enjoys helping them;
- is comfortable producing work to a fixed schedule and under deadlines;
- is comfortable following written instructions and procedures.
