Job Summary
Agrimatco is seeking a highly organized and proactive Administrative Supervisor to oversee the company's administrative operations and ensure the smooth and efficient functioning of daily activities across all departments. The role involves managing the administration team, handling procurement activities, and supervising all fleet-related operations to optimize cost efficiency and service quality.
Ideal Candidate
The ideal candidate is a detail-oriented and hands-on professional with strong leadership and organizational skills. They possess solid experience in administration, fleet management, and procurement, with a proven ability to lead teams, and streamline operations. The candidate should be an effective communicator, capable of building strong relationships with vendors and internal stakeholders, and ensuring all administrative processes run efficiently and in compliance with company policies.
Job Responsibilities
Fleet Management
- Oversee all fleet operations, including vehicle allocation, fuel cards, maintenance schedules, licensing, insurance, and renewals.
- Coordinate with authorized service centers to ensure timely vehicle maintenance and repairs.
- Monitor and control fleet budgets (fuel, maintenance, and repair costs) and prepare regular reports on fleet utilization and administrative expenses.
- Ensure compliance with safety and regulatory requirements for all vehicles.
Administrative Operations
- Supervise and lead the administration team to ensure efficient and professional daily operations.
- Manage office administration activities such as stationery, facility management, and office logistics.
- Support employee onboarding by coordinating administrative setup for new hires.
- Ensure compliance with company policies, procedures, and health and safety standards.
Procurement & Vendor Management
- Oversee procurement and purchasing of vehicles, office supplies, and corporate gifts.
- Build and maintain strong relationships with vendors and service providers, ensuring quality, cost-effectiveness, and timely delivery.
- Maintain accurate vendor records and ensure adherence to contractual obligations.
Job Requirements
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 5 years of experience in administration and fleet management, including at least 2 years in a supervisory or leadership role.
- Strong knowledge of fleet management systems and GPS tracking tools.
- Proven experience in procurement and vendor negotiation.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Excellent command of English.
- Ability to work under pressure and manage multiple priorities effectively.
