Plan, coordinate and manage all administrative procedures and systems Focal point to manage the office facility, coordinate actions with landlord and service providers as needed (security, janitorial services provider, etc) Ensure the office facility is always in order from safety, cleanliness and organization standpoints
Coordinate procurement activities, raise purchase requisitions, in collaboration with vendors and internal functions.
Responsible to implement periodic corporate employees engagement events
Responsible for appropriate documentation filing and archiving, both electronically and hard copies
Supports leadership traveling from abroad with hotel bookings and local logistics
Allocate responsibilities and Office space
Stay updated with all organizational changes and business developments Supervise, mentor, train, and coach our office staff (receptionist and messengers) and delegating assignments to ensure maximum productivity Main Focal point for all contracts management and legal signatories

Prepare and monitor the estimated office budget (hospitality expenses, cleaning, fixed expenses). Providing stationery, office supplies, and necessary office furniture.
Follow up on the time and performance of the company's employees.
Organize the onboarding process for new employees.
Maintain personal records / Attendance of the company.
Follow-up reports of contracted third parties such as (IT, E-Marketing... etc.)
Follow-up of the company's purchase orders with external suppliers and make a comparison with prices and specifications.

Review Basic legal correspondences like NDAs, Sales contracts, and vendor contracts.
Review, archive, and keep track of any documents that carry company stamp and signatures.
Hold and use (when required and carefully) originals or copies of company Legal documents and stamps.
Draft company official correspondences like: Delegations or letters directed to governmental entities.
Forward and follow up with Company Legal advisor / Legal accountant accounting work.

Employees benefits administration.
Responsible of the legislative processes with the legal entities (Labor office, social insurance,.
Payroll administration.
Documenting and executing HR policies.
Travel logistic arrangements and booking.
Staff support and issuing supporting employees letters.
Employees attendance tracking.
Internal content editing and announcements.
**Key Responsibilities**
Establishes and upholds program standards and frameworks across the team. Proactively seeks out ways to improve internal team processes in that reduce effort and improve quality of overall delivery.
Organizes and owns our portfolio tracking, ensuring all updates are captured on time and to the right quality.
Owns intake process for new demand requests and facilitates prioritization reviews.
Assists program managers in identifying and tracking risks and issues.
Proactively works with program managers to mitigate them.
Publishes clear and effective program update reports for leadership. Owns tracking of program health and goals, reporting out to leadership on the status of roadmap completion.
Maintains and upholds program plan, internal team trackers, standard operating procedures, documents, shared drives and policies.
**Basic Qualifications**
Track record of tracking and co-ordinating multiple concurrent small, medium and large scale programs using governance frameworks, mechanisms and techniques. Standards-focused with a strong ability to establish and maintain governance and structure within a program. Experience working in complex organizations. Comfortable working in an ambiguous and dynamic environment.
Experience in project management office, project coordination, project support or project management roles.
Excellent written and verbal communications skills with an ability to interact with all levels of the organization.
Bar-raising stakeholder management skills and experience of working with and managing senior program stakeholders.
Experience establishing and consolidating program delivery metrics and status reports.
Ability to take initiative even under unfamiliar or ambiguous circumstances solid sense of accountability and sound personal judgment.
