Administrative Assistant

1. Managing and reporting on Petty Cash.
2. PRs and SESs on SAP system.
3. Undertaking listing and coding the hub s assets.
4. Undertaking event s management and missions for the hub.
5. Maintain an updated indexing log.
6. Following up on RFQs vendor registration documents.
7. Maintain the RHC staff list and RHC staff birthday calendar.
8. Undertaking receiving revising and tracking invoices and payment s status.
9. Responsible for managing the correspondences and documents using the JIRA.
10. Maintain updated record and ensure continuous supply of different office consumables.
11. Following up on RHC email and responsible of for incoming/ outgoing correspondence through it.
12. Maintain archiving system for all the incoming and outgoing letters.
13. Provide logistical support for all team s missions.
14. Preparation of informal translation when requested.
15. Follow up and coordinate process with the relevant units in HQ departments or focal points involved in daytoday tasks. Such as: Follow up on contracts in coordination with the Legal Department. Follow up on payment tickets. Follow up on Vendor Registration clearances process with FCD. Follow up on PO clearance.
16. Assist the Head of Administration in the Budget.
17. Undertaking vendors relation and follow up and evaluation.
18. Provide the needed support and knowledge sharing for the staff.
19. Provide support in the on boarding process of the new joiners.
20. Assist in planning and specifying the standards of required corporate services related to the Hub.
21. Managing the Meeting room and Office car calendars.
22. Handling the Business Cards issuance for the staff when requested.
23. Undertaking the RHC Official Holidays List.
Requirements
Education:
High school diploma or higher education graduate
Work Experience:
A minimum of 5 years of relevant experience in administration events management procurement and government relations
Languages:
Native Arabic speaker
Fluency in English
