The Project Support Associate will play a crucial role in supporting our Firestopping & Thermal Team by managing daily communications, tracking project progress, and ensuring accurate documentation and billing. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with various teams to resolve questions and issues promptly.

Key Responsibilities:
  • Monitor and manage client communications, being copied on all relevant emails.
  • Assist in resolving questions and issues efficiently, ensuring timely responses.
Weekly Tasks:
  • Track and follow up on pending Purchase Orders (POs), ensuring timely completion.
  • Manage Time & Material (T&M) tickets, addressing any discrepancies.
  • Address items discussed in Work In Progress (WIP) meetings, ensuring accurate documentation.
  • Weekly Material Moves, coordinating with relevant teams.
Monthly Tasks:
  • Oversee and follow up on pending Change Orders (COs), ensuring accurate billing.
  • Compile information for the Production Tracker, providing valuable insights.
Account Management (AM) Support:
  • Maintain and update to-do lists for the AM team, ensuring accurate tracking.
  • Prepare write-ups and submittals for review, ensuring timely completion.
  • Maintain logs for change orders, pending tickets, and pending POs, providing valuable insights.
Project Management (PM) Support:
  • Collect monthly start dates from clients, including site contact information and equipment needs.
  • Track weekly tickets, reviewing timesheets to ensure accurate T&M work submission.
  • Compile look-ahead, assist with scheduling, and place orders to Purchasing as needed.
  • Review production checks against estimates, ensuring accurate billing.
Billing:
  • Review job performance by comparing estimates to actuals, using green sheets to identify discrepancies and ensure accurate billing.
Work Schedule and Hours:

This position follows US Central working hours and days. Employees in Egypt/Jordan are expected to work from 4PM-1AM Monday - Friday.

Requirements:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using project management and communication tools.
  • Detail-oriented with the ability to analyze and compile data.
  • Previous experience in project management support or a related field is preferred.
