**Job title**:Front Office Ambassador

**Reports to**: People & Business Manager

**Responsibilities**:

- ⁠Greet and welcome clients, guests, and vendors in a warm and professional manner.
- ⁠Manage the reception area, including maintaining a clean and organized workspace, arranging seating, and ensuring a welcoming atmosphere.
- Provide accurate information about our services, products, and events to clients and guests.

Schedule appointments and manage calendars for executives and other team members.
- ⁠Coordinate and manage incoming and outgoing mail, packages, and deliveries.
- Assist with office visit planning and coordination, including managing RSVPs, guest lists, and related administrative tasks.
- Collaborate with various departments to ensure seamless communication and coordination of tasks.
- Maintain office supplies inventory and place orders when necessary.
- Assist with basic bookkeeping tasks, such as processing invoices and payments.
- Perform general clerical duties, such as photocopying, scanning, filing, and data entry.
- Help maintain electronic and paper-based filing systems.
- Handle customer inquiries, concerns, and complaints in a professional and timely manner.
- Uphold company policies and procedures, ensuring compliance with confidentiality guidelines.

**Requirements**:

- Bachelors degree or equivalent; additional certification in office administration or relevant field is a plus.
- Near-native fluency in English and/or French
- 1-3+ years of work experience as a receptionist, front office representative, or similar role.
- Excellent verbal and written communication skills.
- Professional and friendly demeanor with exceptional customer service skills.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Proficient in using office software, including Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with office equipment (e.g., printers, scanners, etc).
- Ability to maintain a high level of professionalism and confidentiality.
- Outstanding time management skills, with the ability to prioritize tasks effectively.
- Flexibility to work evenings and weekends, as required, to support events.

**Experience**:

- administrative: 2 years (preferred)

**Language**:

- English fluently (preferred)
