Job Summary

The Office Manager will oversee administrative and operational functions within a fast-paced industrial environment. This role requires strong organizational skills, multicultural communication abilities, and experience working in multinational or cross-border business contexts. The Office Manager will ensure that office operations run efficiently, support senior management, and facilitate coordination between local and international teams.

Key Responsibilities

  • Administrative Management
  • Manage daily office operations, including procurement, logistics, travel arrangements, and facility maintenance.
  • Supervise administrative staff and ensure compliance with company policies and safety standards.
  • Oversee vendor management, contracts, and service agreements.
  • Operational Coordination
  • Support plant or site operations through coordination of documentation, reporting, and internal communications.
  • Assist with scheduling, production meetings, and communication between departments (e.g., production, engineering, HR, and finance).
  • Ensure effective communication between local teams and global headquarters.
  • Financial & Compliance Support
  • Monitor office budgets, expenses, and petty cash.
  • Support finance teams with invoice processing and procurement documentation.
  • Ensure compliance with company policies, legal requirements, and local labor regulations.
  • Human Resources & Employee Relations
  • Coordinate onboarding, training, and administrative aspects of HR processes.
  • Maintain personnel records and assist with performance review logistics.
  • Foster a positive and professional workplace culture aligned with company values.
  • Multinational Collaboration
  • Liaise with global and regional offices on reporting, compliance, and shared services.
  • Adapt communication and documentation for multinational teams and stakeholders.
  • Support visiting international staff and coordinate intercultural business needs.

Qualifications & Experience

  • Bachelor's degree in Business Administration, Management, or related field.
  • Minimum
    10+ years of office management or administrative experience
    , preferably in an
    industrial or manufacturing sector
    .
  • Proven experience in a
    multinational company
    or working with international teams.
  • Excellent English communication skills (other languages are an asset).
  • Strong organizational, problem-solving, and multitasking skills.
  • Proficiency in MS Office Suite, ERP systems, and business communication tools (e.g., SAP, Oracle, Teams).
