Job Summary:
The Administrative and Reception Officer is responsible for supporting the daily administrative operations of the organization, welcoming visitors and clients, managing calls and correspondence, coordinating meetings, and ensuring efficient and professional office workflow.
Duties and Responsibilities:
1. Reception Duties
- Welcome visitors and clients, greet them professionally, and guide them to the appropriate departments.
- Answer incoming phone calls and transfer them to the relevant staff members.
- Manage incoming and outgoing mail.
- Handle general inquiries and provide basic information.
- Maintain the appearance and readiness of the reception area, meeting rooms, and common areas.
2. Administrative Duties
- Prepare and process letters, reports, and administrative forms.
- Organize, file, and archive documents both electronically and in hard copy.
- Schedule meetings and appointments and coordinate room bookings.
- Monitor office supply inventory and submit requisition requests as needed.
- Coordinate between departments to ensure smooth information flow.
- Enter data into administrative systems and maintain accurate records.
Required Skills and Qualifications:
- Bachelor's degree in Administration or a related field.
- Minimum of two years of experience in administrative work or reception (preferred).
- Strong communication and customer service skills.
- Proficiency in computer use and Microsoft Office programs.
- Strong time management and multi-tasking abilities.
- Professional appearance and demeanor.
- Ability to work under pressure and meet deadlines.
