About the Role

The Document Control Administrator is responsible for managing the intake, handling, and storage of all engineering and project documentation. This role ensures that all project participants—from internal engineers to external contractors and clients—have access to the most current and accurate information. The ideal candidate will serve as the "gatekeeper" of project data, enforcing quality standards and version control to mitigate risk and ensure compliance.

Key Responsibilities

1. Document Management & Workflow

  • Manage the Lifecycle:
    Oversee the full lifecycle of engineering documents (drawings, specifications, calculations) from creation to archival.
  • Transmittals & Submittals:
    Coordinate the issuing and tracking of all incoming and outgoing technical documents, including Submittals, Transmittals, and RFIs.
  • Version Control:
    Strictly enforce version control procedures to ensure the project team is working from the latest approved revision (e.g., "Issued for Construction" vs. "Issued for Bid").
  • Distribution:
    Ensure timely distribution of documents to the client, contractors, vendors, and internal departments.

2. Quality Assurance & Compliance

  • Audit & Review:
    Perform quality checks on all documents before issuance to ensure they meet company naming conventions, formatting standards, and metadata requirements.
  • Compliance:
    Maintain compliance with internal quality management systems (e.g., ISO 9001) and client-specific project procedures.
  • Reporting:
    Generate status reports (e.g., Document Register, Master Deliverable List) to track progress and identify overdue deliverables.

3. System Administration

  • EDMS Management:
    Serve as the primary administrator for the Electronic Document Management System (EDMS).
  • Troubleshooting:
    Assist project teams with troubleshooting system issues and provide training to new hires on document control software and procedures.
  • Metadata Entry:
    accurately input and maintain metadata (tags, dates, authors) to facilitate easy retrieval of documents.

4. Project Closeout

  • Archiving:
    Compile final project dossiers, and "As-Built" drawings for handover to the client.
  • Retention:
    Manage secure storage and destruction of documents in accordance with the company's retention policy.

Qualifications & Requirements

Education & Experience

  • Associate's or Bachelor's degree in Business Administration, Library Science, or a related field (preferred).
  • 1-3 years of experience
    in Document Control, specifically within the Engineering Sector (Architecture, Civil, or Construction).
  • Experience working with large-scale drawing sets and technical specifications.

Technical Skills

  • EDMS Proficiency:
    Strong experience with industry-standard software such as
    Procore, Aconex, SharePoint, Bluebeam, Autodesk Construction Cloud (BIM 360), or OpenText.
  • Microsoft Office:
    Advanced proficiency in Excel (for tracking logs) and Word.
  • CAD Knowledge:
    Basic familiarity with AutoCAD or Revit (ability to open files, read title blocks, and plot drawings) is highly desirable.

Physical Demands & Work Environment

  • Primary work is performed in an office environment.
  • Occasional visits to construction sites or field offices may be required.
  • Must be able to sit for extended periods and focus on computer screens.
