About the Role
We believe that every great experience begins with a warm welcome. As a Front Office Receptionist, you will be the face and voice of our organization — the first impression that sets the tone for every visitor, client, and partner who walks through our doors.
This role is perfect for someone who thrives on creating positive interactions, managing dynamic environments, and bringing a polished, professional touch to every detail. You'll combine hospitality, communication, and organizational excellence to ensure our front office runs seamlessly and reflects the vibrant spirit of the organization.
Key Responsibilities
- Serve as the
first point of contact
, greeting all visitors with warmth, professionalism, and enthusiasm. - Handle all incoming calls, messages, and inquiries — ensuring they are directed accurately and efficiently.
- Maintain a
welcoming, polished, and organized reception area
that reflects the company's image and standards. - Manage visitor registration, issue access badges, and ensure full compliance with company security protocols.
- Coordinate meeting room bookings, ensuring smooth logistics, from room setup to refreshments and presentation materials.
- Receive and organize mail, deliveries, and correspondence with meticulous attention to detail.
- Provide administrative and clerical support across departments — including data entry, document preparation, and filing.
- Assist with travel bookings, appointments, and scheduling for company staff and guests.
- Monitor and manage office supply levels, coordinating with vendors for timely replenishment.
- Support internal events, employee onboarding, and cross-departmental initiatives alongside the HR and Administration teams.
Qualifications & Skills
- Bachelor's degree in
business administration, related field
preferred. - Fluency in English
(written and spoken) required; additional languages are a plus. - Polished, professional, and confident demeanour
that inspires trust and represents the company's image with excellence. - 1-2 years of experience
in a front office, receptionist, or guest relations role within a corporate or hospitality environment. - Outstanding
communication, presentation, and interpersonal skills
— with a natural ability to connect and engage - Exceptional organizational skills with the ability to
multi-task and prioritize
in a fast-paced environment. - Strong proficiency in
Microsoft Office Suite
(Word, Excel, Outlook, PowerPoint). - Discretion and reliability when handling confidential or sensitive information.
