Job Summary:
The
Senior Sales Administrator
plays a pivotal role in supporting the real estate sales team by managing administrative operations, overseeing documentation processes, coordinating client communications, and ensuring compliance with company policies and industry regulations. This role involves a high level of responsibility, attention to detail, and interaction with internal teams, clients, agents, and external stakeholders. The position demands a proactive individual with deep knowledge of real estate sales processes and CRM systems.
Key Responsibilities:
Sales Administration:
- Manage and maintain the sales database, CRM entries (e.g., Salesforce, HubSpot), and lead tracking systems.
- Ensure all client information is accurately captured and updated in relevant systems.
- Prepare and manage sales reports, KPIs, and forecasts for senior management.
- Track and follow up on sales pipeline progress and lead status with sales agents.
- Prepare and issue reservation forms, booking forms, and sales agreements.
Documentation & Compliance:
- Review, verify, and manage sales documents including contracts, agreements, and client files.
- Ensure compliance with legal, regulatory, and internal company standards.
- Liaise with legal teams, developers, agents, and clients to facilitate documentation flow.
- Ensure timely submission of all required documentation and contract execution.
Client Coordination:
- Serve as a key point of contact for clients during the sales process.
- Schedule and coordinate property viewings, client meetings, and follow-ups.
- Assist clients with queries regarding documents, processes, and timelines.
Sales Support:
- Provide administrative support to the sales team and agents to improve efficiency.
- Coordinate marketing materials, brochures, and property listings in collaboration with the marketing team.
- Assist in the preparation of proposals, presentations, and market research as needed.
- Support event planning and execution for real estate expos, open houses, or promotional campaigns.
Team Coordination & Training:
- Mentor and train junior administrative staff or sales support assistants.
- Coordinate with other departments such as finance, legal, marketing, and operations.
- Act as a liaison between external sales agents and internal teams.
Qualifications:
- Bachelor's degree in business administration, Real Estate, Marketing, or related field.
- Minimum
5+ years
of experience in a sales administrative role, preferably within the
real estate sector
. - Deep understanding of real estate sales processes, documentation, and legal compliance.
- Familiarity with real estate CRM platforms (e.g., Salesforce, ProSpace, Zoho CRM).
