JOB PURPOSE

The coordinator – Fit-out main role is to ensure the smooth and efficient operation of our Fit-out department, from invoice processing to vendor relationship management as well as contract lifecycle management

Qualifications and Education:

  • Bachelor's degree in any relevant field.
  • Strong presentation and communication skills
  • High attention to detail and accuracy
  • Demonstrated ownership and accountability

Experience
:

  • 1-2 years of experience in the same role.
  • Experience with SAP, Excel, PowerPoint, and other Microsoft Office programs

JOB RESPONSIBILITIES

  • Ensure accurate processing of vendor invoices and timely vendor payments in accordance of payment cycle.
  • Follow up on open purchase orders (POs) and invoice discrepancies to ensure a satisfactory resolution for all parties.
  • Initiate purchase orders for store operations and ensure data validity and compliance with the PO process cycle
  • Act as the primary point of contact for all vendor inquiries. This includes vendor management cycle for new onboardings and maintain effective communication with existing vendors regarding payment status and inquiries.
  • Perform monthly, quarterly, and annual closing activities for the account payable module in SAP. This includes open item management, invoice submission, and conducting monthly accounts payable to general ledger (AP to GL) reconciliations.
  • Reconcile actual expenses against the budget monthly, providing detailed analysis and reporting to relevant stakeholders.
  • Collaborate with internal functional teams to identify, develop, and implement best practices to improve the efficiency of accounts payable workflows and achieve operational excellence.
