Front Office Coordinator

The Front Office Coordinator is the first point of contact for guests, ensuring a welcoming and professional environment. This role manages front-desk operations, guest satisfaction, accurate bookings, and smooth communication across departments to support each guest's wellness journey.
Key Responsibilities:
Guest Experience & Front Desk Operations
- Welcome guests warmly and handle check-in/check-out processes
- Provide accurate information about programs, services, schedules, and facilities
- Maintain a calm, positive, and mindful atmosphere aligned with the wellness environment
Reservations & PMS Management
- Manage and update reservations in the PMS system
- Ensure data accuracy for bookings, billing, and guest profiles
- Coordinate room assignments and communicate updates with housekeeping
Communication & Coordination
- Liaise with other departments (Wellness, Housekeeping, Food & Beverage, Transportation, Medical & Spa teams) to support seamless guest services
- Communicate guest needs, preferences, allergies, or special requests clearly
Financial & Administrative
- Process payments, deposits, receipts, and invoices
- Ensure compliance with internal policies for billing and reporting
- Handle basic administrative tasks and documentation
Service Excellence & Conduct
- Uphold a professional appearance and positive wellness-focused attitude
- Maintain confidentiality and respect guest privacy
- Demonstrate strong service ethics, active listening, and problem-solving
Required:
- Previous experience in front office, guest relations, or hospitality
- Proficiency in English; additional languages a plus (especially Russian, Italian, Turkish)
- Familiarity with hotel PMS systems
- Strong communication and interpersonal skills
- Professional appearance and warm, welcoming demeanor
- Detail-oriented and able to manage multiple tasks efficiently
Preferred:
- Experience in wellness, hospitality, or healthcare environment
- Customer-service or hospitality training / certificates
