Role Description

The Operation Manager is responsible for leading the daily sales operations, managing relationships with broker companies, supervising the internal operations team, ensuring accurate availability of inventory, and overseeing Sales Admin and Contract Specialist performance to deliver a seamless and efficient sales cycle.

Key Responsibilities:

  • Manage and maintain strong relationships with broker companies.
  • Monitor daily broker performance, lead quality, and conversion rates.
  • Ensure brokers follow company pricing, policies, and promotional guidelines.
  • Address escalations and operational issues to ensure smooth sales flow.
  • Lead and supervise the Operations team (Sales Admin, Contract Specialist, and CRM coordination if applicable).
  • Assign daily tasks, monitor progress, and ensure high-quality execution.
  • Conduct performance evaluations and provide ongoing coaching and development.
  • Foster a collaborative, fast-paced, and accuracy-driven work environment.
  • Monitor network and system activity for signs of unauthorized access or breaches, taking corrective actions when necessary.
  • Oversee daily updates of the real estate inventory with full accuracy.
  • Ensure all units' status (Available / Reserved / Sold) is updated on CRM and internal systems.
  • Verify pricing, unit details, payment plans, and availability in coordination with Sales & Finance teams.
  • Communicate inventory updates promptly to all stakeholders.
  • Ensure efficient handling of reservation forms, contracts, and related documents.
  • Review contracts for accuracy and compliance with company policies before client signature.
  • Supervise the Contract Specialist to ensure legal and financial milestones are completed on time.
  • Maintain full documentation workflow from reservation to initial payment.
  • Prepare weekly and monthly performance reports on brokers, sales progress, and inventory status.
  • Analyze KPIs, identify gaps, and recommend corrective actions.
  • Provide clear operational insights to senior management.
  • Develop and enhance internal operational processes to improve efficiency.
  • Recommend CRM enhancements, automation tools, and workflow improvements.
  • Identify recurring issues and implement preventive solutions.

Qualifications:

  • Bachelor's degree in Business Administration, Marketing, or related field.
  • 5–8 years of experience in Real Estate Sales Operations.
  • Strong background in managing brokers and sales operations.
  • Strong leadership and team management skills.
  • Excellent communication and negotiation abilities.
  • High attention to detail and strong analytical skills.
  • Ability to work under pressure and meet strict deadlines.
  • Proficient with CRM systems and inventory management tools
