About the Role

We are looking for a detail-oriented and highly organized
Registry Officer
to manage and support the full student registration cycle. This role ensures accurate student records, smooth semester planning, proper module registration, and effective coordination between students, faculty, and campus facilities.

Key Responsibilities

Student Records & Registration

  • Manage and maintain accurate student records.
  • Track attendance and generate reports.
  • Register students into modules each semester.
  • Manage student grades and construct academic plans.
  • Apply and monitor academic, admissions, and financial holds.
  • Maintain and update scholarship grants based on student performance.

Registration Setup & Data Management

  • Enter all module details into the catalog (codes, descriptors, credits…).
  • Create student groups, class lists, sections, and subsections.
  • Assign faculty to sections and modules.
  • Assign facilities (rooms) according to course requirements.
  • Enroll students into their final module allocations.

Faculty & Facility Logistics

  • Add and update faculty information in the system.
  • Maintain campus facility records (rooms, building resources).
  • Manage room bookings aligned with student schedules.
  • Ensure accurate room capacity and facility data.

Semester Schedule Coordination

  • Plan semester schedules based on student numbers, staff availability, and campus resources.
  • Ensure module requirements match room attributes.
  • Resolve schedule clashes while ensuring a smooth academic experience.

Examination Management

  • Identify exam room capacity and facility needs.
  • Assign invigilators and head supervisors per exam room (1:20 ratio).
  • Create the final exam timetable according to the academic calendar.

Qualifications

  • Bachelor's degree in business, Administration, Education Management, or related field.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Proficient in MS Excel and student information systems.
  • Ability to work under pressure during peak academic periods.
