**Job Title: Executive Assistant**
**Experience: 3 years, with knowledge of Computing and Artificial Intelligence.**
**Job Summary**:
**Key Responsibilities**:
- Calendar and Schedule Management:
- Manage and coordinate the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize and resolve scheduling conflicts as needed.
- Communication Support:
- Prepare agendas and materials for meetings.
- Travel Coordination:
- Plan and organize travel arrangements, including booking flights, hotels, and transportation.
- Prepare itineraries and ensure all logistics are handled seamlessly.
- Meeting and Event Coordination:
- Organize and prepare for meetings, including taking notes and following up on action items.
- Assist in planning and executing company events, conferences, or team-building activities.
- Document and File Management:
- Maintain an organized system for physical and electronic filing.
- Ensure documents are easily accessible and up-to-date.
- Project Management:
- Assist with or manage special projects as directed by the executive.
- Ensure deadlines are met and project goals are achieved.
- Budget and Expense Management:
- Track and manage the executive's expenses, including reconciling credit card statements and submitting expense reports.
- Handle invoicing and purchase orders as needed.
- Confidentiality and Discretion:
- Maintain confidentiality with sensitive information, including strategic plans, financial reports, and personal matters.
- Exercise discretion in handling confidential matters.
- Client and Stakeholder Relations:
- Serve as a point of contact for internal and external stakeholders, handling inquiries, and providing timely responses.
- Cultivate and maintain relationships with clients, customers, and vendors.
- Administrative Support:
- Perform other administrative tasks as needed to support the smooth operation of the executive's office.
- Coordinate with other team members to ensure overall office efficiency.
- Leveraging AI and Technology:
- Utilize Artificial Intelligence tools and software to automate routine tasks, streamline operations, and enhance decision-making processes.
- Stay updated on emerging AI trends and technologies that could improve office workflows and productivity.
- Assist the CEO with data analysis, insights generation, and AI-related tasks when necessary.
Required Qualifications:
- Bachelor’s degree or equivalent work experience.
- Proven experience as an Executive Assistant or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with computing and Artificial Intelligence (AI) tools or platforms.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Good command of the English language is a must.
- Ability to handle multiple tasks and priorities simultaneously.
- Strong attention to detail and problem-solving skills.
- Ability to maintain confidentiality and manage sensitive information.
Desired Skills:
- Proficient in office equipment (e.g., printers, fax machines, video conferencing systems).
- A proactive approach and willingness to take initiative.
- Ability to work independently with mínimal supervision.
Working Conditions:
- Full-time position, with flexible hours as needed.
- Resident in Heliopolis or surrounding areas.
Pay: Up to E£15,000.00 per month
