1. Supervises most activities in the accounts payable function.
2. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate records and control reports.
3. Responsible for preparing accounts payable register and related reports.
4. Relies on extensive experience and judgment to plan and accomplish goals.
5. Checks and tallies posted invoices with invoice totals and filed supplier
- wise.
6. Ensures timely payment to suppliers with reconciled statement of accounts.
7. Ensures that other internal expense reports are approved by the Financial Controller and the General Manager.
8. Ensures proper banking procedures in case of Letter of Credit, extension of guarantee, bank draft, telegraphic transfers etc. and maintenance of records of L/C, purchase in transit, insurance policy, bill of lading and other related documents of importation.
9. Ensures payment of internal expense reports with relevant approval i.e. salary, reimbursement of visa expenses to the Government Relations Officer, cash advance, loan, leave settlement, final settlement etc.
10. Ensures that all cheques are locked and endorsed ‘A/C Payee Only’ upon preparation.
All invoices and supporting documents should be stamped ‘paid’, cancelled cheques should be crossed out as ‘cancelled’, and signature portion should be torn off.
11. Keeps the signed cheques with the Accounts Secretary, distributes them against the receipt, and files the paid documents in the Accounts Payable.
12. Ensures that all cheques are distributed before the end of the month.
13. Promotes efficiency, confidence, courtesy and an extremely high standard of social skills.
14. Demonstrates pride in the workplace and personal appearance at all times when representing the hotel thus identifying a high level of commitment.
15. Adheres to company and hotel rules and regulations at all times.
16. Reports any equipment failures/problems to the Maintenance Department.
17. Participates in any Training/Developments schemes as recommended by senior management.
18. Assists the Duty Manager in any task outlined/detailed by him/her.
19. Complies with any reasonable request made by management to the best of his/her ability.
20. Ensures that the standards required by laws and by management are maintained at all times in the areas specified above.
21. Carries out all other duties assigned by managers and hotel management not specified in the job description.
22. To predict that all activities and to be purchased all equipment and belongings may create disease for the environment, to join all activities which is organized to protect biological diversity and shares the responsibilities, shares the individual responsibilities in order to increase environment knowledge and to carry on necessary trainings. To provide minimum consumption currently used all stuffs and equipment (paper, printed out etc.).
23. To implement necessary warnings and departmental trainings in order to save energy inside the facility. To carry on implementing decisions which were taken for saving energy. To predict effects of environment and efficiency of energy on purchased equipment.
24. To implement his responsibilities in order to eliminate and collect waste in a proper way, reduce environmental pollution and harmful effects to the environment and lead to staffs.
25. To provide carrying chemicals safely, carrying, storing and using in accordance with laws, controlling reducing chemical dirtiness.
**Qualifications**
- ** Education**: 4-year bachelor's degree.
- ** Experience**: At least 5 years of work experience after associate degree.
- ** Foreign Language**:At least intermediate level English.
- ** Special Qualifications**: Has knowledge about the legislation / practices / systems in related field. Performs several actions that are correlated and concern more than one group of actions that are specifically aimed at the targets. Performs specific sequential activities that are related to each other.
