Job Summary :

The Executive Secretary provides high-level administrative support to executive-level management. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The Executive Secretary will manage schedules, coordinate meetings, handle correspondence, and perform various administrative tasks to ensure the smooth operation of the executive office.

Responsibilities :

  • Manage and maintain the executive's schedule, including appointments, meetings, and travel arrangements.
  • Coordinate and organize meetings, including preparing agendas, distributing materials, and taking minutes.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Prepare and edit reports, presentations, and other documents.
  • Maintain confidential files and records.
  • Coordinate travel arrangements, including booking flights, hotels, and transportation.
  • Handle administrative tasks such as filing, photocopying, and ordering supplies.
  • Serve as a liaison between the executive and internal and external stakeholders.
  • Assist with special projects and other duties as assigned.

Qualifications :

  • Proven experience as an Executive Secretary or in a similar administrative role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Excellent interpersonal skills.
  • High school diploma or equivalent; Bachelor's degree preferred.
