OverviewThe Administration Manager is responsible for overseeing and optimizing all administrative operations to ensure the smooth and efficient functioning of the workplace. This role manages office administration, vendor relationships, reporting processes, and cross-functional coordination. The Administration Manager will also support IT and finance functions through structured reporting lines and process management.
Key ResponsibilitiesOffice & Administrative ManagementOversee daily office operations to maintain an efficient and productive work environment.
Supervise and support administrative/office assistant staff, ensuring clear task allocation and performance management.
Maintain office systems, supplies, equipment, and facility operations.
Develop and implement administrative policies, procedures, and best practices.
Manage relationships with vendors, service providers, and contractors.
Negotiate contracts and service agreements to ensure cost-effectiveness and quality.
Track vendor performance and oversee timely payments and renewals.
Prepare and present administrative, budget, and operational reports.
Maintain documentation and records according to company policies and compliance standards.
Coordinate with the finance team for invoice tracking, reconciliation, and budget planning.
Serve as a liaison between administration and IT teams for office-related IT needs.
Ensure timely escalation and follow-up on IT issues affecting employees or operations.
Oversee asset inventory, access management, and IT-related vendor coordination (as applicable).
Support onboarding and offboarding processes from an administrative standpoint.
Manage office events, employee engagement activities, and workplace logistics.
Ensure a safe, clean, and well-organized workplace environment.
Bachelor's degree in Business Administration, Management, or related field.
3–5+ years of administrative or office management experience, preferably in a fast-paced environment.
Strong organizational, problem-solving, and decision-making skills.
Excellent communication and interpersonal abilities.
Proficiency with office software and administrative systems.
Experience in vendor management, budgeting, or IT coordination is a plus.
