We produce high-end creative campaigns for luxury, lifestyle, real estate, automotive, fashion, and government clients across the GCC.

Position Overview

We are seeking a highly organized and proactive Remote Project Coordinator to support the Creative Operations Manager in managing day-to-day activities across multiple departments.

The ideal candidate will be responsible for coordinating tasks, following up with teams, maintaining clear documentation, and ensuring seamless communication across all departments.

You will create and manage daily, weekly, and monthly reports, summarize activities, and make sure Notion and Google Drive are always fully updated and structured.

Most importantly, you will take initiative in improving internal workflows and optimizing Notion workspaces — ensuring efficiency, visibility, and accountability across all teams.

Key Responsibilities

  • Coordinate and manage daily communication between the Creative Operations Manager and all departments (creative, content, production, post-production, web, and admin).
  • Track project timelines, deliverables, and progress using Notion and internal task management systems.
  • Follow up with department heads and team members to ensure timely completion of tasks.
  • Prepare and deliver daily, weekly, and monthly summaries highlighting team performance, project updates, and challenges.
  • Ensure all project folders, assets, and deliverables are organized and updated on Google Drive.
  • Improve and maintain workflow efficiency across all teams by identifying process bottlenecks and implementing solutions.
  • Develop and enhance Notion workspaces — creating optimized databases, dashboards, and collaborative templates for team usage.
  • Support the Creative Operations Manager with documentation, task assignment, and coordination of inter-departmental activities.
  • Ensure clear and consistent communication between departments and leadership.
  • Maintain high standards of organization, accuracy, and confidentiality across all company documentation.

Requirements

  • Fluent in English (Arabic is a plus).
  • Minimum 2–3 years of experience in project coordination, creative operations, or administrative management.
  • Proven experience using Notion for task tracking, workflow management, and workspace creation.
  • Strong command of Google Workspace (Docs, Sheets, Drive, Calendar).
  • Excellent organizational and multitasking abilities.
  • Strong written communication skills for professional summaries and reports.
  • High attention to detail, accountability, and follow-through.
  • Comfortable working remotely under Dubai office hours.
  • Ability to manage multiple teams and timelines simultaneously.

Working Hours & Schedule

  • Full-Time Remote Position
  • Working Hours: 9:00 AM – 5:30 PM (UAE Time)
  • Working Days (alternating cycle):
  • Week 1 → 5 working days
  • Week 2 → 6 working days
  • Then repeats (5 / 6 / 5 / 6 pattern)

  • Official access to Notion and Google Workspace.
  • Predefined dashboards, templates, and folder systems provided by the agency.
  • Collaboration with the Creative Operations Manager to build and improve workflow structures.
  • Shared team access for real-time project tracking, reporting, and documentation.
