Job Purpose:

To coordinate and execute the export shipment process from booking to delivery, ensuring efficiency, cost-effectiveness, and client satisfaction. This includes managing documentation, handling logistics, liaising with internal departments, shipping lines, and truckers, and resolving any issues that may arise throughout the shipment cycle.

Key Responsibilities:

  • Coordinate end-to-end export operations, including booking shipments, issuing shipping instructions, and managing loading schedules.
  • Communicate with sales teams and clients to receive and process shipment requests, provide quotations, and confirm service arrangements.
  • Handle documentation workflows, including receiving receipts, issuing bills of lading, and ensuring the completion of export files.
  • Coordinate with truckers for container pickup, delivery, and gate-in to port, ensuring proper timing and equipment use.
  • Liaise with shipping lines to obtain rates, confirm space availability, and secure competitive pricing.
  • Solve logistics problems related to transportation, documentation errors, customs, or port delays.
  • Follow up on customs documentation and submit required forms (VGM, SI, etc.) to ensure compliance and timely release.
  • Generate and submit daily reports to management on shipment status, pending actions, and operational KPIs.
  • Support finance by forwarding invoices, validating shipping charges, and ensuring timely billing and cost recovery.

Educational & Professional Requirements:

  • Bachelor's Degree in Business, Logistics, International Trade, or a related field.
  • 1 to 3 years of experience in export logistics (freight forwarding).

Required Skills:

  • Strong understanding of shipping processes, Incoterms, and export regulations.
  • Proficiency in MS Office (especially Excel) and logistics/ERP systems.
  • Excellent communication skills to manage clients and internal/external stakeholders.
  • Strong problem-solving and multitasking capabilities.
  • High level of accuracy, organization, and attention to detail.
  • Ability to work independently and as part of a collaborative team.
