Job Purpose
To provide comprehensive administrative and organizational support to the General Manager, ensuring the efficient operation of the GM Office. Oversee schedules, plan meetings and correspondence, create reports and presentations, and help the GM and other departments exchange information efficiently. Sustaining efficient office operations, assisting with executive decision-making, and enhancing the organization's overall performance all depend on this position.
- Identify and support the implementation of process improvements and operational efficiencies within the GM Office and across departments.
- Coordinate and schedule meetings, appointments, and travel arrangements for the GM, ensuring all logistics are handled smoothly.
- Prepare, review, and distribute reports, presentations, and correspondence on behalf of the GM.
- Act as the primary point of contact between the GM Office and internal departments, as well as external stakeholders
- Organize and participate in client meetings, site visits, and company events, ensuring effective communication and documentation of outcomes.
- Understand departmental requirements and relay relevant information or requests to the appropriate parties for timely resolution.
- Assist with onboarding, orientation, and coordination of new staff members reporting directly to the GM Office.
- Provide post-meeting support, including tracking action items, managing follow-ups, and scheduling subsequent meetings.
- Handle inquiries and requests directed to the GM Office, ensuring prompt and professional responses.
- Monitor and report on key projects, deadlines, and deliverables to keep the GM informed and aligned with business objectives.
- Arrange for the GM's participation in industry events, conferences, and expos to promote company interests and foster relationships.
- Assist with internal communications, marketing initiatives, and promotional campaigns as coordinated by the GM Office.
- Maintain accurate records of correspondence, meetings, and project status using organizational tools and systems.
Qualifications
: Bachelor's degree in business or related field.
Experience
: at least 5 years' experience

- Ability to manage confidential information and coordinate complex schedules.
Proficiency in Microsoft Office Suite.

- Stakeholder and executive satisfaction with administrative support and coordination
- Number of meetings, site visits, and events organized or facilitated for executives

- Compliance rate with internal policies and confidentiality standards
