Customer Service Representative

Job Summary:
The Customer Care Representative is responsible for providing exceptional support to customers, ensuring their inquiries, orders, and complaints are handled efficiently and professionally. The role involves maintaining strong relationships with clients, coordinating with internal departments such as sales, logistics, and accounting, and ensuring smooth operations that reflect the company's commitment to service excellence.
Key Responsibilities:
- Handle inbound and outbound calls, emails, and messages from customers regarding orders, delivery status, and product information.
- Manage customer accounts and maintain accurate records of interactions and transactions.
- Coordinate with the logistics team to ensure timely shipment, delivery, and documentation of import/export orders.
- Follow up with customers to ensure satisfaction and resolve any service-related issues promptly.
- Support the sales team by preparing quotations, order confirmations, and after-sales follow-up.
- Process and track customer orders, ensuring accuracy and compliance with company policies and export/import regulations.
- Communicate with suppliers, freight forwarders, and customs agents when needed to facilitate smooth order flow.
- Handle customer complaints and provide appropriate solutions in coordination with relevant departments.
- Maintain up-to-date knowledge of products, services, and company policies.
- Prepare regular reports on customer interactions, service issues, and feedback trends.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 1–3 years of experience in customer service, preferably within import/export or trading companies.
- Excellent communication and problem-solving skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work under pressure and handle multiple tasks simultaneously.
