About the role

The Reservations & Operations Coordinator is responsible for managing the end-to-end booking process for all tour operator requests, ensuring accuracy, efficient service delivery, and seamless communication across all stakeholders. This role is central to translating client bookings into flawless on-the-ground experiences for the end customer.

Key Responsibilities

1. Booking Management & Data Entry

  • Process Reservations:
    Accurately receive, process, and manage new tour operator bookings received via designated email channels and the Magic Arabia Online platform.
  • System Integrity:
    Enter all relevant booking details, including guest information, service types, and special requests, into the company's internal reservation system.
  • Financial Administration:
    Calculate final rates for bookings based on special contract pricing and prepare timely confirmations and invoices for tour operator partners.

2. Communication & Confirmation

  • Client Relationship:
    Act as the primary point of contact for tour operator partners, communicating clearly to confirm all booking specifications, resolve discrepancies, and manage modifications.
  • Supplier Coordination:
    Liaise directly with hotel associates, transportation providers, and other service suppliers to confirm all booked elements, including special requests (e.g., room configuration, dietary needs).
  • Pre-Arrival Vetting:
    Execute a full reconfirmation of all booking elements (accommodation, transfers, tours, guide services, etc.) at least
    seven (7) days prior
    to the guest's arrival.

3. Service Coordination

  • Ancillary Services:
    Book and confirm supplementary services such as restaurant reservations, theme park tickets, and other activity requests.
  • Internal Liaison:
    Coordinate closely with the
    Operations, Sales, and Finance
    teams to ensure all departments are fully aware of booking details, guaranteeing smooth service delivery and accurate financial reconciliation.

4. Post-Arrival & Reporting

  • Booking Amendments:
    Efficiently manage all changes and cancellations to existing reservations as required by the client or internal teams.
  • Irregularity Reporting:
    Monitor and check no-show reports according to Magic Arabia procedures, promptly escalating and reporting all irregularities or issues to the Team Leader.

Required Skills & Qualifications

  • Proven experience in a reservations, bookings, or operations role, preferably within a
    Destination Management Company (DMC)
    or the travel/hospitality industry.
  • Excellent written and verbal communication skills, particularly in corresponding with international tour operators.
  • Strong organizational and time-management abilities with meticulous
    attention to detail and accuracy
    in data entry.
  • Proficiency in reservation software and Microsoft Office Suite (especially Excel).
  • Ability to work effectively under pressure and manage multiple competing priorities and deadlines.
  • Strong team player with the ability to coordinate across multiple internal departments (Sales, Finance, Operations).
