Program Assistant(Egypt)

**COMPANY DESCRIPTION**
The Program Assistant will support the Private Sector and Alumni Engagement Officer in the monitoring and support of students in the Public University Scholarships program and the implementation of functional aspects of the program by providing administrative and logístical support for student advising at Cairo University and private sector engagement activities. Tasks may include data entry, drafting and processing documents, arranging orientations and workshops, contacting students, creating student reports, making phone calls, collecting data, coordinating appointments and meetings, and timely and accurate filing of key project documentation.
**RESPONSIBILITIES**
Tasks and responsibilities for this position include, but are not limited to, the following:
**Student Monitoring and Support**:
- Communicate professionally and compassionately with students on a regular basis, advising on policies and required paperwork.
- Track student completion of activities and requirements and ensure that the student monitoring database is up to date.
- Finalize all the required files of the M&E for the Career Development activities.
- Write student update report on quarterly basis, IQMs, blurbs and disciplinary actions.
- Draft program documents including formal university/company letters, success stories, and report components.
- Update students Files with GPA, ITP, TOEIC and add the updates to the monitoring sheet.
- Coordinate logistics (travel, accommodations, materials, online sessions, and more) for university visits and private sector events.
- Maintain program files and documentation in an organized manner.
- Arrange for meetings and record meeting minutes.
- Prepare students monthly allowances and reimbursements sheets for Program’s officer approval
**Private sector**:
- Coordinate quarterly Technical Advisory Group meeting logistics
- Assist in planning guest speaking sessions
- Assist in collecting internship documentation from students
**Career preparation**:
- Assist in reaching out to potential employers to support students in completing their internships requirements
**Administrative responsibilities**:
- Support in making training/event arrangements, attending training/events as needed
- Coordinate private sector and career preparation event logístical arrangements
**QUALIFICATIONS AND SKILLS**
**_ Required_**
- Bachelor’s Degree in any relevant discipline such as education or business.
- Proficient in using Microsoft Word, PowerPoint, Excel and Outlook.
- Excellent English and Arabic proficiency.
- Organization and problem-solving skills.
- Strong writing skills.
- Excellent attention to detail.
- Passion for youth development.
- Egyptian citizenship
**_Preferred_**
- A minimum of 2 years of work experience.
- Demonstrated experience with program administration or project management.
- Time management skills.
- Team Player.
- Interpersonal Skills.
- TOEIC score of 600 or equivalent
