The Administrative Officer is responsible for overseeing a range of administrative functions to
ensure the smooth operation of the organization. This role encompasses facility management,
housekeeping, catering, stationary management, and procurement activities. The Administrative
Officer plays a crucial role in maintaining a well-organized and efficient work environment.

1. Facility Management:

- Oversee the overall maintenance and cleanliness of the office premises.
- Coordinate with external service providers for repairs, maintenance, and

renovations.
- Monitor and manage office space allocation, ensuring optimal utilization of

resources.
- Collaborate with relevant stakeholders to implement health and safety protocols

and ensure compliance.

2. Housekeeping & Catering:

- Develop and implement housekeeping procedures to maintain a clean and orderly

office environment.
- Supervise and manage the housekeeping staff, ensuring their adherence to

established standards.
- Monitor and maintain inventory of cleaning supplies and equipment.
- Address any housekeeping-related issues or complaints promptly and effectively.

3. Procurement:

- Identify and source reliable suppliers for various organizational needs.
- Obtain competitive bids, negotiate contracts, and ensure timely procurement of

goods and services.
- Maintain accurate records of procurement activities, including purchase orders,

invoices, and receipts.
- Collaborate with internal stakeholders to understand procurement requirements

and ensure alignment.

4. Administrative Support & Stationary Management:

- Provide general administrative support to employees and management as

needed.
- Assist with organizing meetings room schedule & events.

- Maintain inventory of office supplies, including stationary, equipment, and

furniture.
- Coordinate with suppliers for timely procurement and replenishment of

stationary items.
- Develop and implement processes to track and control stationary usage.
- Monitor expenses related to stationary and implement cost-saving measures

where possible.
**Qualifications**
- Bachelor's degree in Business Administration or relevant field.
- Proven experience in administrative roles, preferably with exposure to facility management, housekeeping, catering, and procurement.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in using office software and systems.
- Ability to handle sensitive and confidential information with discretion.
- Problem-solving and decision-making abilities.
- Proactive approach to work and ability to work independently.
