Procurement Specialist

Janssen Egypt is recruiting for a **Procurement Specialist - Distributors Debit Notes** to be located in **Cairo, Egypt **.

**Summary of the job**:
As part of the Middle East Purchasing Hub Team, the Procurement Specialist for Debit Notes is responsible for the end-to-end processing of distributor claims and administrative tasks related to purchase order management, claim approval and settlement of such claims and monthly reconciliation.

**Duties & Responsibilities**:

- Create distributor purchase order requests in the system after confirmation from Business Unit Finance (BUF), with the correct accounting details before previous financial year's end
- Processing the received debit notes claims from the distributor after verification of all supporting documentation with a daily follow-up with the Distributor for any correction and follow up with Business Stakeholders for approval as per the approval Matrix follow up on payment queries with Accounts Payable Team
- Updating on a timely basis Debit Notes Tracker through the receiving date, status for each debit note and correct type of expenses.
- Track and update distributor debit notes submitted via distributor SharePoint and pro-actively follow up on their status.
- Record goods/service receipts in the eMarketplace (SAP Ariba) system based on Business Requester confirmation (positive and negative Goods receipt) in accordance with regional & spend type approval matrix
- Resolve any discrepancies in the request matching process (Mismatch, Request for Information) within target time (KPIs)
- Closure of Purchase Orders within 90 days of “Need by Date” of purchase request.
- Performing Monthly Good Receipt/Invoice Receipt Reconciliation (GRIR), in case of any discrepancy raise a ticket on ASK GS Portal and escalate to line manager.
- Performing Monthly Statement of Account Reconciliation (SOA) received from the distributor with the status and escalate if any issue.
- Ensure all purchase requests follow compliance protocols in accordance with Global, Admin Hub and Distributor SOP; ensure compliance with corporate policies, procedures, and internal controls.
- Quarterly Accruals calculation according to the processed debit notes with alignment with Statement of Account received from distributors and Business Unit Finance (BUF).
- Quarterly Meetings with distributors to discuss discrepancies in SOA and align on any faced challenges.
- Quarterly perform duplication check for debit notes processed during the last two years.
- Escalate any issues faced in the process with direct supervisor through the escalation tracker.

**Qualifications**:

- **Education**:Bachelor's degree
- 2-3 years of experience in **Procurement or in Finance**:

- Minimum 2 years experience with the following Financial Systems (SAP/Ariba/or Oracle)
- Previously worked on Purchase Orders creation through Ariba or eMarketplace system
- Based in Cairo
- Fluent in English & Arabic
