Seeking a highly organized and tech-savvy Executive Assistant to support the team, an

leverage advanced project management tools and AI systems to maximize efficiency and

productivity.

**Core Responsibilities**
- Manage complex calendars across multiple time zones
- Coordinate internal and external meetings
- Ensure efficient time management and prioritization

**Meeting Support**
- Schedule and coordinate meetings with stakeholders, partners, and team members
- Prepare meeting materials and agendas
- Handle video conference setup and technical requirements
- Follow up on action items and decisions

**Travel Coordination**
- Book and manage international travel arrangements
- Coordinate flights, accommodations, and ground transportation
- Create detailed travel itineraries
- Handle expense reporting and reimbursements

**Information Management**
- Conduct research on markets, competitors, and potential partners
- Create and maintain organized documentation systems
- Take detailed meeting notes and distribute summaries
- Manage and organize digital files and documents

Required Technical Proficiency

**Project Management Tools**
- Advanced expertise in:

- Asana for task and project tracking
- ClickUp for team collaboration
- Notion for documentation and knowledge management
- Jira for technical project tracking
- Experience creating and maintaining project timelines
- Ability to set up and manage automated workflows
- Proficiency in creating custom dashboards and reports

CRM Systems
- Demonstrated proficiency in:

- HubSpot
- Salesforce
- Pipedrive
- Experience managing contact databases
- Ability to generate relationship insights and reports
- Skills in pipeline management and tracking
- Ability to perform Sales Ops tasks

**AI Tools & Systems**
- Expert-level proficiency in Chat GPT and other AI assistants:

- Advanced prompting techniques
- Chain-of-thought prompting
- Context management
- Output formatting and styling
- Experience using AI for:

- Content generation and editing
- Research and analysis
- Meeting summarization
- ***Data analysis and insights**
- Ability to integrate AI tools into daily workflows
- Understanding of AI capabilities and limitations

Additional Required Experience & Skills
- 5+ years of executive assistant experience, preferably in tech startups
- Advanced proficiency in:

- Google Workspace (Gmail, Calendar, Docs, Sheets)
- Microsoft Office Suite
- Video conferencing platforms
- Travel booking systems
- Note-taking and documentation tools

**Essential Qualities**
- Exceptional written and verbal communication skills
- Fluent in English
- Strong problem-solving abilities
- Ability to maintain strict confidentiality
- Detail-oriented with excellent organizational skills
- Proactive and self-motivated
- Adaptable to changing priorities
- Cultural awareness and experience with international business etiquette
- Available for occasional off-hours support due to different time zones
