Job Summary:

The Front Office Manager is responsible for overseeing the daily operations of the front desk and reception area. This role ensures exceptional customer service, efficient workflow, and smooth communication between departments. The manager supervises front office staff, handles guest/visitor interactions, and ensures compliance with company standards and policies.

Key Responsibilities
1. Front Desk & Reception Management

  • Supervise daily front desk operations to ensure professionalism and efficiency.
  • Greet and assist visitors, clients, and employees in a courteous and timely manner.
  • Ensure front desk team delivers high-quality customer service.
  • Handle escalated inquiries, complaints, and special requests.
  • Oversee phone system operations and ensure proper call handling.

2. Staff Supervision & Training

  • Manage, train, and schedule front office staff (receptionists, administrative assistants).
  • Conduct performance evaluations and provide coaching for improvement.
  • Ensure staff follows company procedures, dress code, and customer service standards.

3. Office Coordination

  • Coordinate meeting room bookings and manage shared calendars.
  • Oversee office supplies for the front area and ensure availability.
  • Ensure cleanliness, organization, and readiness of the reception and lobby area.

4. Administrative Support

  • Assist with preparing reports, logs, and documentation related to front office operations.
  • Maintain records of visitors, daily attendance, and office activities.
  • Support HR and administration in onboarding, interviews, and event coordination.

5. Compliance & Communication

  • Ensure adherence to health, safety, and security protocols.
  • Maintain professional communication with internal departments.
  • Implement and update front office policies and procedures.

Qualifications

  • Bachelor's degree in Business Administration, Hospitality Management, or related field.
  • 3–5 years of experience in front office or customer-facing roles, preferably in corporate or hospitality settings.
  • Strong leadership and team management skills.
  • Excellent communication skills (verbal and written).
  • High level of organization, multitasking, and problem-solving abilities.
  • Proficiency in MS Office and office management systems.
