Role Description
This is a full-time on-site role located in Heliopolis for a Personal Assistant (PA) to the CEO. The PA will coordinate and manage the CEO's daily schedule, organize meetings, arrange travel plans, and handle correspondence on their behalf. Additional responsibilities include preparing documents, managing deadlines, maintaining confidentiality, working closely with internal and external stakeholders, and effectively supporting the CEO in day-to-day operations.

Reporting to: Chief Executive Officer (CEO)
Job Purpose
The Personal / Executive Assistant (EA) to the CEO provides high-level administrative, organizational, and executive support to ensure the efficient management of the CEO's office. The role acts as a key point of contact between the CEO and internal/external stakeholders, safeguarding confidentiality, managing schedules, and enabling the CEO to focus on strategic priorities.
Key Responsibilities
Executive Support
- Manage the CEO's calendar, appointments, and meetings, ensuring effective time management and prioritization.
- Organize and coordinate executive meetings, board meetings, and off-site events, including agenda preparation, document distribution, and minute-taking.
- Draft, review, and manage correspondence, reports, and presentations on behalf of the CEO.
- Maintain confidentiality of highly sensitive information.
Administrative Management
- Arrange domestic and international travel, accommodation, and itineraries for the CEO.
- Screen calls, emails, and requests, providing accurate information and responses where appropriate.
- Prepare expense reports and monitor reimbursements.
- Maintain organized filing systems, records, and databases.
Liaison & Communication
- Act as the first point of contact for stakeholders, clients, and senior leadership engaging with the CEO's office.
- Coordinate communication between the CEO and other executives, departments, and external partners.
- Follow up on action items from meetings to ensure timely completion.
Strategic & Project Support
- Assist in research, data collection, and preparation of briefing documents for the CEO.
- Support special projects and initiatives assigned by the CEO.
- Provide insights and recommendations to improve efficiency of executive office operations.
Qualifications & Experience
- Bachelor's degree in Business Administration, Management, or related field.
- 0-2 years' experience as an Executive Assistant, Personal Assistant, or in a similar role, preferably supporting C-level executives.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent written and verbal communication skills (English and Arabic).
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with digital collaboration tools.
- Ability to work under pressure, handle multiple priorities, and maintain discretion at all times.
