Executive Secretary

Job Purpose

The Executive Secretary provides high-level administrative and organizational support to executive management, ensuring smooth daily operations, effective communication, and professional coordination across internal departments and external stakeholders.

Key ResponsibilitiesAdministrative & Executive Support

  • Manage executive calendars, appointments, meetings, and travel arrangements
  • Prepare, organize, and follow up on meeting agendas, minutes, and action items
  • Handle confidential documents and sensitive information with the highest level of discretion
  • Screen, prioritize, and manage emails, calls, and correspondence

Communication & Coordination

  • Act as a key liaison between executives, internal teams, and external partners
  • Draft, review, and format professional emails, reports, and presentations
  • Coordinate meetings with internal departments, clients, and vendors
  • Follow up on pending tasks and ensure timely completion of action items

Documentation & Office Management

  • Maintain well-organized filing systems (digital and physical)
  • Prepare official letters, memos, and management reports
  • Support HR and Finance departments with administrative documentation when required
  • Assist in office coordination and executive-level events

Travel & Logistics

  • Arrange local and international travel, including visas, accommodation, and itineraries
  • Prepare travel-related documents and expense records
  • Coordinate logistics for executive meetings, events, and business trips

Required QualificationsEducation

  • Bachelor's degree in Business Administration, Management, or a related field

Experience

  • Minimum
    4–5 years
    of experience as an Executive Secretary, Personal Assistant, or in a similar role
  • Proven experience supporting
    senior management or C-level executives
    is preferred

Skills & CompetenciesTechnical Skills

  • Excellent command of
    English and Arabic
    (spoken and written)
  • Strong proficiency in
    Microsoft Office
    (Outlook, Word, Excel, PowerPoint)
  • Experience using scheduling tools and online meeting platforms (Microsoft Teams, Zoom, etc.)

4–5+ years of relevant experience

Proven experience supporting senior management
