Job description

The ideal candidate will provide top-level assistance for the CEO. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Responsibilities

  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes and documents for executives
  • Monitor and track tasks assigned to team members who report directly to the CEO, ensuring deadlines are met and progress is on track.
  • Liaise between departments to ensure smooth communication and coordination of tasks.
  • Prepare and create reports from various departments using Google Sheets and documentation tools.
  • Manage the CEO's email inbox, responding and organizing communication as needed.
  • Oversee and coordinate the CEO's calendar, scheduling appointments, meetings, and ensuring smooth time management.
  • Review the CEO's meetings, extract action items, add them to the task management software, and communicate with clients about their responsibilities.
  • Arrange travel plans, including flights, accommodations, and itineraries for the CEO.
  • Take on additional administrative tasks as needed to support the CEO and the broader team.
  • Represent the CEO in meetings when necessary, providing updates and communicating key information.
  • Act as office manager and ensure office policies compliance.

Qualifications

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Exceptional English skills, both written and spoken.
  • Ability to work from from our office in El Sheikh Zayed from 3PM to 12AM from Monday to Friday
  • Professional appearance and confidence in client-facing
  • English level C1
