Position: Admin Specialist (5–7 Years of Experience)
We are looking for a highly organized and proactive
Admin Specialist
to join our expanding team. The ideal candidate will be responsible for managing administrative operations, supporting the technical office, coordinating documentation with banks, and ensuring smooth, efficient workflow across all departments. This role is essential in supporting HR, Finance, Projects, the Technical Office, and the Executive Office with strong follow-up and professionalism.
Key Responsibilities
1. Administrative Operations & Coordination
• Manage office documentation, filing systems, and correspondence (digital & hard copy).
• Coordinate with internal departments (Technical Office, HR, Finance, Projects, Procurement) on administrative requirements.
• Handle office supplies, inventory, purchase requests, and follow up with suppliers.
• Organize meetings, book rooms, prepare materials, and support internal events and trainings.
2. Technical Office Support
• Assist the Technical Office team in preparing, organizing, and following up on documents and submissions.
• Coordinate between the Technical Office and other departments to ensure smooth workflow.
• Support in collecting drawings, documents, approvals, and sending/receiving files from consultants and contractors.
• Maintain proper filing of technical documents and ensure all records are updated.
3. Bank-Related Documentation & Follow-up
• Prepare and submit required documents to the bank (contracts, company forms, project documents, official letters).
• Follow up on bank-related requests, approvals, statements, guarantees, and pending issues.
• Coordinate with the Finance Department to ensure accurate and timely submission of required documents.
• Handle visits to the bank when needed and maintain accurate documentation records.
4. Documentation & Reporting
• Prepare letters, memos, forms, reports, and follow-up sheets with high accuracy.
• Maintain employee attendance, leave requests, overtime, and submit them to HR/Payroll.
• Ensure all administrative files, contracts, and records are updated and properly archived.
5. Logistics & Support Services
• Coordinate travel arrangements, transportation schedules, and drivers' assignments when needed.
• Follow up on office maintenance, service providers, and facility-related issues.
• Assist in organizing company events, orientations, and external visits.
6. Compliance & Internal Processes
• Ensure all administrative procedures follow company policies and internal regulations.
• Support in auditing administrative records and ensuring process accuracy.
• Follow up on pending tasks and ensure timely completion.
Qualifications
• Bachelor's degree in Business Administration or related field.
•
5–7 years of proven experience
in administration or office coordination.
• Very good command of English.
• Excellent computer skills (MS Office, Outlook, documentation tools).
• Strong organizational, communication, and follow-up skills.
• Ability to work under pressure and manage multiple tasks efficiently.
• Professional, presentable, and team-oriented personality.
Work Conditions
• Working Hours: 9:00 AM – 5:00 PM
• Days Off: Friday & Saturday
• Location: Salah Salem, Cairo, Egypt + Support to Project Sites when needed
