Role summary
We are looking for a proactive Admin Assistant to support the company leadership team, including the CEO. You will manage schedules, communications, meeting logistics, and core administrative functions to ensure the leadership team operates efficiently.
Key Responsibilities
- Manage scheduling and calendars for the company leadership team (appointments, prioritization of sensitive matters, calendar conflicts).
- Draft, review, and send communications on behalf of the leadership team (emails, invoices).
- Organize and prepare for meetings (prepare agendas, gather documents, set up rooms / virtual links, attend and manage logistics).
- Take and draft minutes for selected meetings and follow up on actions with relevant stakeholders.
- Oversee day-to-day office administration: welcome visitors at the front desk, answer/route calls, manage supplies, and liaise with vendors(Office supplies and vendor liaisons).
- Provide ad-hoc executive support and complete special projects as assigned.
- Client follow-ups: project status, invoicing, and scheduling.
- Administrative documentation, filing, and reporting.
- Assist with basic ERP tasks and data entry, and coordinate with the ERP team on system updates and client records.
- Internal-external communication management.
Qualifications & Skills
- Bachelor's degree required (Business Administration or related field preferred).
- Minimum 1 year of experience in an executive assistant/support role.
- Fluent in Arabic and English (spoken & written).
- Excellent written and verbal communication and presentation skills.
- Strong organization, time-management, and multitasking abilities; high attention to detail.
- Proactive, solutions-oriented "roll up your sleeves" attitude; ability to work independently and as part of a team.
- Strong relationship-building and interpersonal skills; professional and positive demeanor.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable with Google Workspace; basic CRM/ERP familiarity is a plus.
- Ability to handle confidential information discreetly and professionally.
- Experience in multinational or fast-paced environments is an advantage.
