Job Purpose

To provide high-level administrative and organizational support to the Vice President, ensuring smooth daily operations, effective communication, and efficient handling of executive tasks. The role demands discretion, initiative, and a strong grasp of cross-departmental coordination.

Key Responsibilities

  • Manage the Vice President's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and format executive correspondence, reports, presentations, and meeting agendas.
  • Handle confidential information and sensitive communications with professionalism.
  • Coordinate interdepartmental communications and follow-ups on behalf of the Vice President.
  • Organize and maintain digital and physical filing systems for executive documents.
  • Assist in preparing materials for board meetings, strategic planning sessions, and external engagements.
  • Track action items and deadlines, ensuring timely completion and updates.
  • Liaise with internal teams and external stakeholders to support executive initiatives.
  • Support event planning and logistics for executive-level functions.
  • Monitor and prioritize incoming emails, calls, and requests directed to the Vice President.

Qualifications & Skills

  • Bachelor's degree in business administration, Management, or related field.
  • 3+ years of experience in executive-level administrative support.
  • Bilingual proficiency in Arabic and English, with strong translation and adaptation skills.
  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and executive scheduling tools.
  • High level of discretion, professionalism, and attention to detail.
  • Ability to multitask and work under pressure in a fast-paced environment.
