Job Purpose

the
Non-Trading Procurement Specialist supports the purchase and management of indirect goods and services, ensuring cost-effective, timely, and compliant procurement. The role assists with supplier coordination, purchase orders, and data analysis to help optimize operational efficiency and support business needs.

Responsibilities

Procurement Operations:

  • Support day-to-day purchasing activities for indirect (non-trading) goods and services, such as office equipment, IT hardware/software, travel services, marketing materials, utilities, and facility management.
  • Create, review, and process purchase requisitions and purchase orders in the procurement system.
  • Ensure accuracy and completeness of purchase documentation before approval.
  • Monitor open purchase orders, track delivery timelines, and follow up with suppliers and internal stakeholders on delays or discrepancies.
  • Verify and match invoices, receipts, and delivery notes to resolve billing or payment issues.

Supplier Management and Negotiations:

  • Source new suppliers that meet the Five R criteria (Right Quality, Quantity, Price, Time, Place).
  • Participate in negotiations to secure favorable pricing and terms with a maximum of three negotiation rounds (RFQ & RFP).
  • Develop and maintain supplier relationships to ensure timely, cost-efficient deliveries.

Collaboration & Stakeholder Support

  • Liaise with internal departments (Finance, HR, IT, Facilities, etc.) to clarify requirements and priorities.
  • Provide administrative support to senior procurement staff during tenders and contract renewals.
  • Assist in organizing supplier meetings, reviews, and procurement-related events or workshops.
  • Support training and communication efforts on procurement policies and procedures.

Coordinate and ensure that procurement for all departments and branches (e.g., Alexandria, Delta) meets their specific needs and requirements.

Follow-up & Workflow Management Responsibilities:

  • Proactively follow up with suppliers and internal departments to ensure timely order confirmation, delivery, and service completion.
  • Monitor the end-to-end procurement process to identify and resolve delays or bottlenecks.
  • Maintain clear communication with stakeholders to provide updates on order status, delivery schedules, and issue resolutions.
  • Track pending approvals or documentation to ensure smooth workflow and on-time processing of procurement activities.

Job Specifications

§ 

Bachelor's degree in Business Administration, Supply Chain Management, Procurement or related field.

§ 

Minimum 0 to 2 years of experience in procurement, particularly for non-trading goods.

§ 

Strong understanding of procurement processes, supplier evaluation, and budget management.

§ 

Proficiency in negotiation, supplier sourcing, and contract management.

§ 

Excellent communication skills for cross-departmental collaboration.

§ 

Ability to manage procurement across multiple departments and regions.

§ 

Proficient in procurement software and reporting tools
