Sales Operations Coordinator

Duties & Responsibilities:
- Maintain, update and manage the sales pipeline, leads and inventory status in the CRM (or internal system) to ensure accurate real-time data of units/projects.
- Prepare and review sales contracts, amendments, reservation agreements, payment plan schedules, hand-over documentation and broker-agency agreements.
- Coordinate internally with Marketing (for lead generation campaigns), Sales Executives, Legal/Contracts, Finance (for payment/receipts) and Customer Service to ensure seamless process flow.
- Track unit-inventory allocation, bookings, cancellations, payment receipts, and hand-over status; flag any discrepancies or delays.
- Assist with broker registration, commission tracking and payout schedules.
- Generate regular reports (daily/weekly/monthly) on lead status, conversion rates, sales performance, outstanding payments, inventory turnover and any other KPIs.
- Support sales operations process improvements, identify bottlenecks and propose solutions (e.g., streamline contract workflow, reduce lead-response time).
- Ensure all data (client details, contracts, payments, documents) are accurately filed—both electronically and, where required, in hard copy—to ensure audit-ready status and compliance with internal guidelines and relevant Egyptian regulations.
- Respond to ad-hoc queries from the sales team or management regarding inventory, contract status, client payments or hand-over schedule.
- Coordinate meetings/appointments with clients, brokers and internal stakeholders (for site visits, presentations, contract signings) and ensure that meeting-records and follow-ups are properly tracked.
- Occasionally support client after-sales hand-over process (ensuring unit inspection, documentation hand-over, payment closure and client hand-over meeting) to uphold client satisfaction.
- Stay updated with the Egyptian real-estate market trends (pricing, payment plans, regulatory changes) and contribute to sales strategy discussions.
Job Specifications:
- Bachelor's degree in business administration, Commerce, Real Estate, Marketing or related field.
- Minimum 2–3 years of experience in a real-estate development company or in sales operations within property/real estate.
- Familiarity with real-estate sales processes in Egypt: unit reservations, payment plans, contract execution, broker commissions, hand-over.
- Good command of both Arabic and English (spoken and written) – able to draft reports, contracts and communicate across teams.
- Strong MS Office skills (Excel, Word, PowerPoint) and experience with CRM systems or internal inventory/sales tracking tools.
- Excellent organizational skills, attention to detail and ability to manage multiple concurrent tasks and deadlines.
- Strong communication, interpersonal skills and the ability to coordinate with various departments and external brokers/clients.
- Analytical mindset: able to prepare and interpret reports, identify trends or issues, and propose corrective actions.
- Proactive, can work independently as well as part of a team; good appearance and presentable for client/broker meetings.
